Whatnot CSV Upload Not Working? Fixes for the 9 Most Common Errors

You filled in the Whatnot CSV, hit upload, and got an error, a partial import, or nothing at all. Almost every failed Whatnot upload comes down to one of the nine problems below. Work down the list in order; the first three cause most failures.

Checked against Whatnot’s bulk upload template on October 15, 2026.

1. The category name is close, but not exact

Whatnot matches the Category cell letter for letter. For comics the value is Comics & Manga. “Comics”, “Comic Books” and “Comics and Manga” all fail. Copy the value from the template’s Values tab or pick it from the dropdown instead of typing it.

2. The subcategory belongs to a different category

Each subcategory only works under its own category. Under Comics & Manga the choices are Modern Comics, Vintage Comics, Comic Art, Anime & Manga and Pop Culture Memorabilia. A common trap: Graphic Novels sits under Books, so a graphic novel row with Category “Comics & Manga” fails. The template’s Subcategory Dropdown tab shows every valid pair.

3. The condition isn’t allowed for that subcategory

Conditions are set per subcategory, not per category. Comic subcategories use the grading scale (Graded, Gem Mint, Mint, Near Mint, Very Fine, Fine, Very Good, Good, Fair, Poor). Graphic Novels use book conditions (Brand New, Like New, Very Good, Good, Fair, Poor). “NM”, “NM+” and “9.8” are not valid values. Put the grade number in the title or description instead.

4. Type is spelled differently

Type accepts exactly Auction, Buy it Now or Giveaway. “BIN”, “Buy It Now” with a capital I, or “Fixed Price” won’t match.

5. Shipping Profile doesn’t match a listed weight range

Use a range exactly as the Values tab writes it, such as 1-3 oz or 4-7 oz, or the exact name of a custom shipping profile you created in Whatnot. “3 oz” or “3oz” on its own won’t match.

6. The image links are private

Image URL columns need direct links that anyone can open. Test one in a private or incognito browser window. If you see a login page, a preview page or a “request access” screen instead of the picture, Whatnot can’t load it either. Shared-drive links are the usual culprit.

7. The file isn’t really a CSV

Upload a CSV, not the .xlsx workbook. Save only the Template tab. If your spreadsheet asks about the format, choose “CSV UTF-8”. Plain CSV from some versions of Excel can turn apostrophes, accented letters and long dashes into garbage characters.

8. The header row was changed

Keep all 21 headers exactly as the template has them, in the same order, even for columns you leave empty. Renaming “Sub Category” to “Subcategory” or deleting the unused image columns can break the whole file.

9. You’re using an old template

Whatnot updates the template. Between March and October 2026 it dropped two top-level categories and changed about 60 subcategories. If a file that worked last spring fails now, download a fresh template and re-check your Category and Sub Category values against it.

“It uploaded, but I can’t find my listings”

That’s normal. Bulk uploads land in your Drafts, not in your live listings or your show. Open Drafts, check a few items, then publish them or assign them to a show.

Stop fixing spreadsheets

If you upload often, the errors above add up to hours. LiveSeller Pro writes the Whatnot file against the current template, so the category, subcategory and header problems don’t happen in the first place. Read Exporting to Whatnot or start with Comic Edition.
